We are looking for a hyper-organized, tech-savvy problem-solver to manage resourcing and workflow processes for a 40-person agency that specializes in brand creation, recharge and activation engagements for
global and emerging brands, primarily in beauty and lifestyle categories.
Key Responsibilities:
- Proactively manage resourcing to ensure all engagements are staffed with the right talent at the right time, balancing client, team and agency needs
- Lead weekly studio status and resourcing meetings
- Manage agency-wide work planning tool and calendar to avoid conflicts and proactively resolve issues
- Work closely with account managers to accurately manage engagement health, schedules, budgets, expenses, burnrate, utilization and profitability
- Provide weekly reporting on engagement health, resourcing needs and other agency KPIs
- Support Finance Director by monitoring time tracking, engagement invoicing, and expense reconciliation
- Partner with Business Development Manager on the creation of SOWs, budgets and schedules for new and existing clients
- Serve as internal expert on project management tech stack, including our Functionpoint agency management system, Liquid vendor hub, and more
- Develop, implement, and manage efficient workflow processes to streamline and simplify internal operations
- Source and manage freelance and indepdendent contractor pool, issuing contracts and work orders, and following up on invoices
- Assist with recruiting, hiring and onboarding of full-time team members and interns
- Own training and documentation for key systems and operational processes to ensure consistent, best-practice usage
Qualifications:
- 3 - 5 years of agency creative operations and/ or project management experience
- Dynamic, positive and proactive with a talent for building relationships with internal team members and contractors
- Highly-organized and detail-oriented, with a passion for problem-solving
- Able to successfully manage multiple priorities in a fast-paced environment
- Tech savvy, with a strong understanding of resourcing and project management best-practices and common platforms (Functionpoint, Asana, Smartsheets, Clickup or similar) and fluent in spreadsheets
- Experience creating accurate estimates, building schedules and managing budgets
- Positive attitude, excellent communication skills, and a desire to work hard and have fun
- U.S. citizen or authorized to live and work in the U.S.
